Keyword Sync: Managing Keywords with Google Sheets
Keyword Sync is a powerful feature that allows you to manage your keywords through a Google spreadsheet. This tool is especially useful for users who frequently update their keywords, prices, need to enable or disable terms regularly or manage large keyword sets across multiple campaigns.
It’s highly recommended that you backup your entire uBuyFirst instance and export your current keywords before attempting to use the sync feature.
Benefits
- Team Collaboration: Share and collaborate on keyword management with team members
- Easier Management: Manage keywords from a single spreadsheet rather than the keyword interface
- Batch Updates: Make changes to multiple keywords simultaneously
- Automation Potential: Integrate with other systems through Google Sheets
Setting Up Your Google Sheet #
Recommended Method: Start with Existing Keywords
- Your current keyword export will already have the correct column headers and format
- Export your current keywords from the app (in the Keywords section, look for an “Export” option)
- Import or copy/paste the exported file into Google Sheets
- In Google Sheets grant access to anyone with the link and copy the link

- Go to Sync > Sync Search Terms in uBuyFirst app
- Paste the google sheet URL
- Test by clicking “Fetch and Apply”
- Set the autofetch interval (how often the google doc will be synced)
- Enable auto fetch

Note: All your existing search terms will be replaced by search terms from spreadsheet. Please, create a backup of your uBuyFirst before making changes and export current keywords to be safe.
Note:
- Keyword sync only works one way from Google Sheet to uBuyFirst
- When keyword sync is enabled, existing keywords will be removed.
- Any edited/deleted/created keywords within uBuyFirst will be overwritten the next time the sheet syncs.

New Features #
Direct to Checkout Page (Browser)
With this feature, you can bypass the item page in the browser and go directly to the checkout page for faster purchases.
Here’s how it works:
- Direct Checkout: Click on the Price or Total Price fields with your mouse to skip the item page and go straight to checkout.
- Open Item Page: If you double-click on any other field in the result (besides Price or Total Price), you will be directed to the item’s page instead.
This feature makes it easy to quickly complete purchases without unnecessary steps!
To enable: MENU > GRID > select “Click Price cell to open checkout”

Total Price as Max Price
This feature helps filter out listings that go over your set max price when the item price and shipping are combined.
How it Works:
- When enabled, the system will add the item price and calculated shipping, then compare the total to your max price setting. If the combined cost exceeds your max price, the listing will be excluded from your results.
Example:
- Max Price: $100
- Before: An item priced at $100 with $10 shipping would still appear.
- Now: This item will not appear, as the total cost surpasses the max price.
Who Should Use This:
- Ideal for users overwhelmed by irrelevant listings where item price + shipping frequently exceeds their max price for certain keywords.
Who Shouldn’t Use This:
- If you want some flexibility in your max price and are okay with listings that exceed it due to shipping costs, you may prefer to keep this option disabled.
Example Use Case:
- A user purchasing items for $30 at a 20% margin expects a maximum profit of $6. They would exclude listings where the item is $29 with $8 shipping, as this would result in a loss.
- Conversely, a user buying items for $300 at a 20% margin has a potential profit of $60. This user might still want to see listings priced at $300 with $5 shipping, as it maintains a favorable profit margin.
How to Enable:
- Go to GRID > Select “Total Price as Max Price”.

Unified HotKey for Checkout Options
We’ve simplified using hotkeys to navigate through the checkout process by allowing users to assign the same shortcut for both the Commit to Buy and Checkout options. Here’s how it works:
- Commit to Buy Items: When the shortcut is used on an item that requires “Commit to Buy,” it will automatically initiate the Commit to Buy process.
- Immediate Payment Items: For items requiring immediate payment, using the same shortcut will directly open the eBay Checkout page.
This unified approach streamlines actions, saving you time whether you’re committing to buy or proceeding directly to checkout.

Refine Your Search with Product Identifiers
Quickly To enhance your ability to find the exact product you need, you can now search using the following columns:
- Brand – Filter by manufacturer (e.g., Apple, Samsung).
- MPN (Manufacturer Part Number) – Narrow results down to specific part numbers.
- Model – Search by product model name or number.
- UPC (Universal Product Code) – Track items using globally recognized barcodes.
- Product Reference ID – Use system-generated identifiers for easy tracking.
How to Use #
These columns are available in the Results Section, allowing you to:
- Sort, filter, and search using product-specific identifiers for better inventory organization.
- Quickly locate items based on detailed manufacturer and product information.

Shortcut for Checkout Options
If the same keyboard shortcut is assigned to both “Commit to Buy” and “Open in Checkout”, the system will automatically direct you to the checkout page when “Commit to Buy” isn’t available. This ensures a seamless buying process without requiring separate shortcuts.
The screenshot below illustrates how to set up shortcuts for quick purchasing and checkout navigation. Users can customize their Go to Web Checkout, Quick Buy, and Make Offer actions under GRID > SHORTCUTS for optimized workflow.
